SHE Role Directory and appointment letters

The STFC Role Directory (SHE Directory) provides a list of all staff across STFC with Safety, Health and Environment (SHE) responsibilities as well as, where relevant, their letters of appointment. The SHE Role Directory allows those with the required permissions to appoint STFC staff into positions with SHE responsibilities and will automatically send email notifications to the appointee and their manager and get approval from the appointee’s department director. Once approved, the appointment will appear in the system along with an automatically generated letter of appointment.

Can I export relevant data from the SHE Role Directory into Microsoft Excel?

Yes, we have now implemented the feature to export active appointments from the directory, into an Excel spreadsheet. For more information on how to do this, please watch the video here.​

Can a non-STFC user, for example a tenant be appointed to a SHE role in the directory?

Yes, non-STFC users can now be appointed within the SHE Role Directory. More information can be found in the SHE Role Directory End User Guide​ under ‘Creating a New Appointment – Appointee Information’.

SHE Code 22, “Working with lasers”, states that an Overall Laser Responsible Officer (OLRO) can appoint a Laser Responsible Officer (LRO) and Laser Nominated Person (LNP) on behalf of a director, how can this be done in the SHE Role Directory if a director must approve the appointment?

Within the new SHE Role Directory, we have introduced a feature allowing tiered role structures. This will n​​ow make it possible for an Overall Laser Responsible Officer (OLRO) to appoint roles beneath, such as Laser Responsible Officer (LRO) and Laser Nominated Person (LNP) on behalf of a director.​ by using the ‘Self Approval’ method.

I need to make a minor update to an appointment; can I do this without de-appointing and re-appointing?

I have received an expiry notification for an appointment. What should I do?

If you need to extend the appointment, you can do so by following the video tutorial here​.​ If not, the appointment will enter a 14-day grace period on the day of expiry should it need to be reinstated after the expiry date; after this period, it will be moved to the archive.
